The Engagement

Center Theatre Group, in Revolution Office's own structure

Problem, solution and documented result. The way every engagement is reported.

  1. Problem

One of the nation’s most influential nonprofit theatre companies was running seventeen aging copiers on an equipment lease about to expire. Equipment and service performance were inconsistent, and the IT help desk was spending significant time solving copier issues. There was no reporting data to understand user behavior or usage levels. A heavy guest population printing to the devices made network security a live concern. On top of that, the organization was moving between temporary and permanent spaces and needed a partner who could absorb that uncertainty.

  2. Solution

A combination of five-year leases and short-term rental devices, which gave the organization time to understand its facility needs and the flexibility to change later. PaperCut was deployed for centralized, easily maintained print control: detailed reporting, secure printing, and a guest printing option that does not require network access. Automated toner replenishment removed supply ordering from the help desk entirely.

  3. Result

Copier and associated service costs were reduced by 37%, equating to $119,000 over the term. Service response time improved to 3.2 hours and equipment uptime to 97.3%. IT tickets related to the copiers dropped from over twenty per month to one or two, and are now resolved within hours rather than days. Today, less than 1% of all open tickets are copier related.

We could not be happier with our relationship with them.

About This Engagement

Questions about the Center Theatre Group engagement

How was the Center Theatre Group baseline established?

Through the standard assessment: every device inventoried with model, serial and meter, every lease, service and supply cost line consolidated, and utilization measured per device. The savings figure is stated against that measured baseline, not against a quote.

How long did the transition take?

Implementation was staged site by site with network and driver deployment, staff training and a zero-gap cutover, so no location lost print capability during the change.

Could we speak to this client?

Yes. References are available during the assessment stage, matched to your sector and size.
